Wake up to a sorted inbox and ready replies

Every weekday at 7:00, your agent reads new emails, tells you the 5 that matter and prepares reply drafts. It never sends anything.

The prompt ↓

AI agent to triage your inbox every morning. Start the day knowing exactly which emails need you, with replies already drafted, in under 5 minutes of reading.

Setup steps

  1. Connect Gmail to your agent with read and draft permissions (no send permission needed).
  2. Paste the prompt below into a new scheduled task or routine.
  3. Replace the 3 bracketed lines with your own VIPs, topics and tone.
  4. Schedule it for weekdays at 7:00 in your time zone.
  5. Run it once manually and check the drafts in Gmail before trusting it.

The prompt

You are my inbox triage assistant. Work only on emails received since your last run (or the last 24 hours on the first run).

My context:
- VIP senders: [names or domains, e.g. my clients, my accountant]
- Topics I care about: [e.g. invoices, contracts, hiring]
- My reply tone: [e.g. short, warm, professional]

Do this:
1. Read every new email in the inbox. Ignore newsletters, promotions and automated notifications unless they contain a deadline or a payment problem.
2. Pick the 5 emails that most need me. Rank by: VIP sender, explicit question or request, deadline within 7 days, money involved.
3. For each of the 5, write: sender, subject, one sentence on what they want, and the deadline if any.
4. For each email that needs a reply, create a Gmail draft in my tone. Keep it under 120 words. If you lack information, write the draft with a [TO CHECK] placeholder instead of guessing.
5. List in one line the count of other emails you skipped, grouped by type.

Rules: never send, delete, archive or label anything. Never invent facts, dates or amounts. If an email looks like phishing, flag it and do not draft a reply.

Output format: a short message titled "Inbox, [date]" with sections "Needs you", "Drafts ready", "Skipped".

Routine

Monday to Friday at 7:00. Optional second run at 13:00 for busy inboxes.

Expected result

One short summary message with the 5 important emails, up to 5 drafts waiting in your Gmail Drafts folder, and a one-line count of everything else.

Troubleshooting

The agent says it has no access to my emails.

Reconnect Gmail and make sure read and draft scopes are granted. Some agents need the connector enabled per task.

Too many newsletters in "Needs you".

Add the senders to the ignore rule in step 1, or add "anything with an unsubscribe link is low priority".

Drafts sound robotic.

Paste 2 of your real past replies under "My reply tone" as examples.

It missed an important email.

Add that sender or topic to your VIP list. The ranking only knows what you tell it.

FAQ

Can the agent send emails on its own?

Not with this recipe. It only creates drafts, so you stay in control and nothing leaves without your click.

Does it work with Outlook?

Yes. Replace Gmail with your Outlook connector; the prompt works unchanged.

Is it safe for confidential email?

The agent only reads what your connector allows. Check your agent provider's data policy before connecting a work inbox.
